2. What This Notice Covers
This Notice applies to job applicants, candidates, workers placed through us, clients, hiring organisations, website users, and anyone interacting with our recruitment services.
3. The Data We Collect
We collect only the information necessary for recruitment, placement, compliance, and business operations.
Candidate data: name, contact details, address, CV, employment history, qualifications, right‑to‑work documents, NI number, references, interview notes, salary expectations, work preferences.
Special category data: health information, ethnicity (monitoring), criminal convictions (where required).
Client and supplier data: contact details, job descriptions, contract and billing information, communications.
Website data: IP address, device information, cookie identifiers, analytics.
4. How We Use Your Data
Recruitment, screening, matching candidates to roles, verifying identity and right to work, communicating with candidates and clients, managing placements, compliance with legal obligations, improving services, handling complaints, and marketing where permitted.
5. Automated Decision‑Making (ADM)
We use automated tools to extract information from CVs and identify potential matches. These tools do not make final hiring decisions. You have the right to request human intervention, challenge an automated outcome, and receive a meaningful explanation.
6. Lawful Bases for Processing
Contract, legal obligation, legitimate interests, and consent (for optional marketing or special category data). We do not rely on DUAA “Recognised Legitimate Interests” for recruitment activity.
7. Where We Get Your Data
Directly from you, your CV or job board profile, LinkedIn or public sources, referees, background check providers, and clients.
8. Who We Share Your Data With
Clients, hiring organisations, payroll/umbrella companies, IT and cloud providers, background screening agencies, legal/regulatory bodies, and emergency services where required. We never sell your data.
9. International Transfers
Where data is stored outside the UK, we use approved safeguards such as the IDTA or UK Addendum.
10. How Long We Keep Your Data
Unsuccessful candidates: 12–24 months. Placed candidates: up to 6 years. Client records: 6 years. Financial records: 6 years + current year. Marketing data: until consent withdrawn. Complaints/claims: up to 7 years. Anonymised data may be retained indefinitely.
11. Your Rights
You may access, correct, delete, restrict, or object to processing; request portability; and withdraw consent. DUAA SAR rules apply: we may request clarification for broad requests, pause the deadline while clarification is sought, or refuse manifestly excessive requests.
12. Data Incidents
If you believe your data has been misused, accessed unlawfully, or exposed, you must notify us immediately at info@tasktalentrecruitment.co.uk.
